Purpose

The Order Processing Specialist supports internal and external customers as part of Customer Service, Order Entry and Programs Teams.

Why is the work important?

The Order Processing Specialist is responsible for many traditional customer service duties (including communicating directly with customers both by phone and email; typing; data entry; and filing); processing customer orders and creating work orders using various technology tools, and supporting our high volume/high profile customer programs. The role is critical because it ensures accurate, efficient, and timely translation and communication of the customers’ requirements to actionable tasks that ultimately result in customer satisfaction.

What is accomplished by performing these tasks?

  • Ensure (both internal and external) customers’ needs are met.
  • Ensure accurate material allocations.
  • Ensure timely and accurate communications.

Goals

  • Become proficient with all tasks for Customer Service, Order Entry, and Engineering.
  • Provide support to assist Program Owners with Programs Team tasks.
  • Become “Alternate Owner” for Programs and be back up to Program Owner for assigned programs.
  • Achieve internal and external customer satisfaction.
  • Improve existing JBS’s to better document processes while making them easier to learn and more efficient to perform.
  • Participate in (including facilitating) Go To Meeting stand ups.

  • Strong Computer Skills including:
    • Microsoft Outlook: Ability to utilize Outlook to manage emails, calendars, and tasks across multiple mailboxes.
    • Microsoft Access: Ability to utilize established databases for data entry, reporting, etc.
    • Visual Manufacturing: Understand the relationship between Access, Visual and Excel for O/E, MFG, invoicing, labels, shipping, etc.
    • Microsoft Word: Utilize existing templates to generate documents. Utilize mail merges with both Access and Excel.
    • Microsoft Excel: Ability to work with existing Excel spreadsheets including creating basic formulas, sorting, filtering, etc.
    • Ability to recognize and work with other file formats (CSV, TXT, Fixed Width etc.)
    • Familiarity with various web browsers. Ability to use web browsers/sites to upload/download files, do data entry, manage users, etc.
  • Professional communication skills including using multi-line phone system and email.
  • Flexible - Ability to adjust to changing priorities.
  • Regular attendance.
  • Compliance with the Company Policy Manual’s terms and conditions; signed at hire.
  • Background in base and precious metal emblematic jewelry and rings.
  • Excellent time management, critical thinking, and problem solving skills.
  • Ability to prioritize and be flexible within job structure.

General Requirements

  • High school diploma or equivalency required; Secondary education or college degree preferred.
  • Three years applicable work experience (preferably including Customer Service and/or Information Technology in a Manufacturing environment).
  • Experience in similar position preferred; experience in professional office environment required.

Compensation

The position of Order Processing Specialist is compensated on a Non-Exempt basis, as determined by the President.
